Give your team back the week.

Vartaq takes the repetitive work off your team — answering questions from your own records, turning calls and documents into finished write-ups, and carrying customer requests through to resolution. All inside the systems you already use.

Sound familiar?

The work that quietly eats the week.

None of this is in anyone’s job description. It is what fills the gaps between the work people were actually hired to do.

Evenings go on updating the CRM

So the pipeline lands late and half-complete, and the forecast built on it is closer to a guess than a number.

Nobody remembers what was agreed

Calls and meetings pile up unread. The one detail that mattered never reaches the person who needed it.

Customers wait for answers you already have

The information is sitting in a system. Someone just has to open it, read it and type it back out again.

The same report, rebuilt by hand

Every week, capable people spend their sharpest hours reassembling a summary that barely changed.

What we build

Four places the work disappears.

Most engagements combine two or three of these. Every one is judged on the same question: did the work actually go away, reliably, inside the systems you already use?

Conversations that finish the job

A request arrives and gets resolved — looked up, acted on, confirmed — wherever your customers already talk to you.

  • WhatsApp, your website, in-app, or an internal team channel
  • Multi-step requests carried through to completion
  • Straightforward rule-based flows where those fit better
  • Handover to a person with the full history attached

Answers from your own records

Ask your business a question and get a real answer, drawn from your data and showing where it came from.

  • Meetings, calls, CRM, documents, reports, databases
  • Every answer cites its sources
  • Respects the permissions your systems already enforce
  • Works for people in the field, not only at a desk

Work that completes itself

The quiet admin between the conversations: reading long things, producing short structured ones, and acting on the result.

  • Calls and meetings written up into structured records
  • Details pulled out of documents, emails and forms
  • Trends surfaced and risks flagged before anyone notices
  • Results written straight back into your systems

Built around how you run

When the problem is genuinely specific — to your data, your systems or the rules you work under — we build directly for it.

  • Designed for your workflow, not adapted from a template
  • Connected to legacy and internal systems
  • Compliance and audit requirements built in
  • Delivered as working software you own
How it’s delivered

Some of it already exists. The rest we build.

Forcing everything into a product means living with its compromises. Building everything bespoke means paying to reinvent problems that are already solved.

Ready now

The Vartaq platform

Our messaging and agent platform, in production today. Connect your business WhatsApp number through Meta’s official onboarding, set what gets handled automatically, and give your team one shared queue for everything else. Quick to stand up, nothing for you to maintain.

Built for you

Custom engineering

Assistants over your own data, automation pipelines, forecasting workflows, and integrations into systems that never had an API written for them. Built around how you operate and handed over as software you own.

How we work

How an engagement actually runs.

These projects fail when they start too broad. We start narrow enough to prove value quickly, then grow from something already running in production.

1

Pick one workflow that hurts

Something specific and measurable: a queue nobody gets to, a report rebuilt by hand every week, a question your team keeps having to ask someone else.

2

Ship a working slice

Real software running against your real data, in weeks. You judge it on one thing — whether the work actually went away.

3

Connect it and grow

Wire it into the systems around it, confirm it holds up under real usage, then move to the next workflow with proof behind you.

Trust & data handling

What happens to your data.

Handing a supplier your CRM, your documents and your customer conversations is a serious permission to grant. Here is exactly what it does and does not allow.

Never used to train shared models

Your data serves your organization’s use of the system, and is not folded into anything that benefits somebody else.

Official connections only

Where a platform provides a sanctioned onboarding route — as Meta does for WhatsApp — we use it instead of collecting raw credentials.

Separated by organization

Accounts, connections, conversations and records are separated at the data layer, not merely filtered in the interface.

Revocable and deletable

Revoke access at the source whenever you like, or ask us to delete your organization’s data outright.

Questions

The things people actually ask.

Still unanswered? Write to hello@vartaq.com and a human replies.

What does Vartaq actually do?

We take repetitive work off your team. That usually means one of four things: assistants that answer questions from your own records, automation that turns calls and documents into finished write-ups, customer requests handled from first message to resolution, or something built specifically for how your business runs. It works inside the systems you already use, so nothing has to move.

Is this only for customer support?

No. Support is one common starting point, but just as much of the work happens internally — a team asking questions of their own CRM and meeting notes, calls being written up automatically, weekly reports assembling themselves, risk being flagged before someone notices it manually. Anything repetitive that involves reading, summarising, looking up or following up is in scope.

Are you a product or a services company?

Both, on purpose. Where a problem is common, you get our platform — already built, quick to connect. Where it is specific to your business, we build it and integrate it with what you already run. Most engagements use some of each, and we will tell you honestly which parts should be off-the-shelf rather than pushing everything one way.

Will it work with our existing systems?

That is usually the whole point. Answers are grounded in your own sources — CRM records, meeting notes, documents, reports, operational databases — so what comes back reflects your business rather than generic knowledge. Integration is treated as part of the build, and access follows the permissions your systems already enforce.

Do we need AI for everything?

No, and we will say so when you do not. Plenty of workflows are better served by plain deterministic rules: cheaper, faster, completely predictable and far easier to audit. We build rule-based flows where those are the right answer and reserve models for work that genuinely needs language understanding, reasoning or prediction. Using a model where a rule would do is a cost and a reliability risk.

What kind of results should we expect?

Across live deployments, around 70% of incoming queries are resolved automatically without anyone on your team touching them, over 5,000 messages have been handled, and more than 100 customers have been served through the systems we run. What matters more than any single figure is which 70% — the routine, repetitive requests — so your team keeps the judgement calls and loses the busywork.

How long does it take to see something working?

Weeks, not quarters — because we deliberately start with one workflow rather than a broad programme. You get real software running against your real data, and you judge it on whether the work actually went away. Once that holds up in production, we expand from something already proven rather than from a plan.

What happens to our data?

It is never used to train shared models. Credentials and integration tokens are encrypted at rest, and every organization is scoped separately with no shared data plane. Where we connect to an external platform such as WhatsApp, we use the official onboarding route rather than asking you to hand over raw API credentials. Full detail is in our Privacy Policy.

How does an engagement start, and what does it cost?

It starts with one real workflow rather than a long discovery exercise — something with a measurable outcome we can ship quickly. Pricing depends on whether you are using the platform, commissioning a custom build, or both, and on the scale involved. Email hello@vartaq.com and we will scope it with you properly instead of quoting a number that means nothing.

Bring us the workflow that annoys you most.

Tell us where the work piles up. If we can take it off your team we’ll show you what a first slice looks like — and if we can’t, we’ll tell you that too.
